How jobsite.im works

Everything the office and the crew need to know, in about ten minutes of reading.

Getting started

jobsite.im keeps your work schedule in one place. The office fills a board; the team opens one link.

  1. Create your account at /signup. You start on the Free plan.
  2. Add units (trucks, vans, machines, stations) under Units.
  3. Add employees under Employees, with their usual unit.
  4. Fill tomorrow on the Schedule tab, then share the crew link at the top of the board.
Want to look first? The live demo is a full account filled with a fake crew. Change anything: it resets every hour at :00.

The schedule board

One day at a time. Each line is a work ticket: one job or shift, for one employee and one unit. The board opens on tomorrow, since that is the day you are usually planning.

Columns

  • Unit and Employee. Picking an employee fills in their usual unit when the unit is empty.
  • Start time is free text: 7:00 AM, Noon, After 4 PM all work.
  • Customer, contact name and phone, PO # and Job #.
  • Location. The map link is built from it automatically. Paste your own https:// map link for sites without a clean address.
  • Instructions: anything the employee must know (gate code, what to bring, who to ask for).
  • Status: see below.

Addresses, GPS pins and directions

Type an address and the map link is built for you. For a new site that is not on a map yet (a new lot, a rural road, a highway shoulder), add a GPS pin in the work ticket:

  • Paste coordinates (45.4240, -75.6950) or a full Google Maps link: the pin is read from it. In Google Maps, long-press the spot to see its numbers.
  • On site with your phone? Tap Use my location.
  • Check on Google Maps ↗ shows exactly where the crew will go.

Employees tap Open in Maps and choose Apple Maps, Google Maps or Waze; a box remembers their choice for next time (and Other app switches it). Tapping a contact's number asks Are you sure you want to call this number? before opening the phone's dialer, with a button to copy it instead. The pin wins over the address, so the crew lands on the exact spot. Duplicate in the editor copies a work ticket; Print prints the day's board.

Work ticket statuses

Click the unit on any work ticket to give it a status. The whole line takes a soft tint of the status color, on your board and on the employee's card.

  • Cancelled (grey): struck through, never copied to the next day, cannot be confirmed.
  • Working (green), O/T overtime (teal), O/S out of service (peach).
  • Complete (red): the work is done.

In Settings → Work ticket statuses you can switch off the ones you do not use, rename them and pick your own colors.

Copy the previous day

Recurring work? Copy previous day duplicates every job that was not cancelled. Confirmations are not copied: each day is confirmed on its own.

Employees and units

Employee names appear on the crew link exactly as you type them; use the name the crew knows them by. A phone number is optional and for office use only: it is never shown on the crew link.

Someone left? Uncheck Active instead of deleting: their past jobs keep their name, and they disappear from the crew link. Inactive employees do not count toward your plan limit.

Units can be anything you assign along with a person. Mark a unit Out of service while it is in the garage.

Schedule models

A landscaping crew, a quick-service restaurant and a trucking company do not plan the same way. Pick the model that fits in Settings → Schedule model (or when you sign up). It renames the columns and hides the ones you do not use; your work tickets stay the same, so you can switch at any time.

This preview works. Pick a model, click a unit to change the status, and confirm the shift in the crew view. Nothing is saved.

What employees see

The first time, they tap their name. Their phone remembers it (no account, no password). They then see their jobs for the next 7 days, each laid out the same way:

Try it: this card works like the real one.

Time 8:30 AM
Unit Truck 8
Customer ABC Company
Job 123 Main Street, Anytown
Map Open in Maps ↗
Contact Pat Example · 555-0144
PO # PO-1001
Notes Underground parking, low ceiling.

"See everyone's schedule" shows the whole crew for any day, handy for a foreman. The page refreshes on its own every few minutes while open.

Shift confirmations

Under each upcoming job, the employee has a big Confirm, I'll be there button. One tap, and on your board a green ✓ appears beside their name. A dashed circle means not confirmed yet.

  • Only the employee assigned to a job can confirm it.
  • Change the date, the time, the address or the person, and the confirmation is cleared: they must see the new version.
  • Tapped by mistake? They can undo it from the same card.
  • The board header counts them: "6 of 8 confirmed".

Leaving and returning to the yard

With a vehicle model (field service, landscaping, trucking), today's card has a Left the yard button, then Back at the yard. The time appears under the status on your board ("Out 7:12 AM · back 3:40 PM"). Dispatch can set or clear it too: click the unit on the work ticket.

Worker accounts (optional)

Employees never need an account: the crew link is enough. Those who want more can create a free worker account from My account on the crew page, or at /worker.

  1. In Employees, click Invite next to the person. Give them the code or the link (one use, 7 days).
  2. They create their account with it: their account is linked to that employee. Nobody can claim someone else’s name.
  3. Their name becomes clickable in your list: phone, address and emergency contact they entered. Unlink removes the link only; their account stays theirs.

Workers can ask for tomorrow’s schedule by email at the time they choose (explicit consent, unsubscribe link in every email). The demo never sends anything.

Who answers what: questions about a schedule go to the company that made it. jobsite.im support handles problems with the system itself.

Modules

Extra tools you switch on in Settings → Modules. A module your plan does not include shows a lock with the plan that has it. If you change plans, your choices are kept and come back when the plan allows them.

Shift covering (Basic and Complete)

  1. An employee who cannot make it taps Can’t make it? Find someone to cover on their work ticket.
  2. Co-workers see it under Open shifts on the crew page and tap I can take it.
  3. On the board, the ticket shows who offered. Approve hands it over (already confirmed), Decline reopens it, Close request ends it.

Nothing changes hands until the office approves. Reassigning the ticket yourself also ends the request.

Your branding (Basic and Complete)

Upload your logo (PNG, JPEG or WebP, 256 KB at most) and pick your color. Your crew page and the header of your app switch to them, with a small “Powered by jobsite.im” at the bottom of the crew page. See examples.

Plans and licence keys

Every company starts on Free (5 employees, best-effort email). Basic (10 employees, email within 1 business day) and Complete (unlimited employees, live chat Mon–Fri 8–5 ET, email within 4 business hours, setup call) are unlocked with a licence key. Units are unlimited on every plan. See Pricing.

  1. Get a key from our team. It looks like JSIM-ABCD-EFGH-JKLM.
  2. Open Plan in your account and paste it. Case and dashes do not matter.
  3. The plan applies right away. A second key for the same plan adds its time to the end date.

A key works once. When a plan ends you return to Free; nothing is deleted.

Your data

Your company owns the data it enters. In Settings:

  • Export my data downloads everything (account, employees, units, jobs, confirmations, payments) as one JSON file.
  • Close the account erases the company and everything in it immediately. Only payment records are kept, as tax law requires.

Your employees' information is yours to manage: tell them their name and jobs appear on the crew link, and answer their access or correction requests. Details in the privacy policy.

Restaurants, stores and shift work

No trucks? Use Units for stations or positions: Grill, Drive-thru, Cash 2, Opening. Put the shift in Start time (6:00 AM – 2:00 PM), leave the address empty, and use Instructions for the day's notes. Employees confirm their shifts exactly the same way.

Troubleshooting

"This link is no longer active"

The office made a new link or changed its name. Ask them for the current one.

An employee sees someone else's name

They picked the wrong name on a shared phone. "Not you?" at the top of their page lets them pick again.

"Plan limit reached"

Deactivate employees who left, or redeem a key for a bigger plan. Units are never limited.
